Switching From Remind: How to Get Your Roster Out

If your district is moving off Remind for the 2026-2027 school year, or you are a coach or club leader deciding on your own, the first question is always the same: how do I get my people out? The honest answer is that you mostly do not. Remind will give you your message history and a list of participant names. It deliberately will not give a regular teacher anyone's phone number or email address. Once you know that, the switch stops being a data problem and becomes a two-step job: rebuild the roster from wherever you actually collected those people, and use your Remind class one last time to tell everyone where the group now lives.

What Remind will give you, and how to get it

Remind's export lives on the web, not in the app. Sign in at remind.com, click your name in the top left, and open Account settings, then Message history. Under the Participants section, click Export. You can filter to one class with the dropdown. Remind emails you the result as a PDF, so check your spam folder if nothing shows up. That PDF is a list of your class participants by name, per Remind's own help center.

On that same page you will also see an Export data button. That one is a data-portability requirement: it downloads your own account data, not a contact sheet for your class. Useful to keep, but it does not solve the roster problem either.

What Remind will not give you

Phone numbers and emails. Remind's contact visibility policy keeps personal contact information private from teachers and class owners; only verified administrators on an organization's Remind Hub plan can see it. That is a reasonable privacy design, and it is why no tool can promise an ordinary class owner a one-click transfer out of Remind. If your organization's verified admins are on Remind Hub, they can pull member contact info; everyone else cannot. Your participants typically joined your class with a code or a link, and their actual numbers stayed with Remind.

Where your real roster lives

Almost every class or team roster existed somewhere before Remind: the league registration list, the PTA directory, the sign-up sheet from the parent meeting, the school's family directory, the spreadsheet you typed names into three seasons ago. That source is your export. Pull it into a simple spreadsheet with three columns: name, phone, email. Either column of contact info is enough per person.

If no such source exists, do not reconstruct it from memory. Re-collect it once, cleanly: a short form or a shared sheet where each family enters its own current number and email. You will end up with a better roster than the one you lost, because every family gets the chance to supply its current details.

The last message you send on Remind

You still have the channel. Use it once, before you go. Send a normal announcement to the class telling people the group is moving and what, if anything, you need from them. Something like:

"Hi all! This group is moving off Remind before the season starts. You do not need to download anything. Please take 30 seconds to confirm your current cell and email here: [your form or sheet link]. Messages will come from our new system starting [date]. Questions? Just reply here this week."

Leave the Remind class up for a few weeks as a pointer. Anyone who missed the announcement can still find their way over, and you lose nobody in the gap.

Set up the new home before you announce

Whatever you move to, have it working before you send that last message, so "starting [date]" is a promise you can keep. If what you need is announcements that get answers back, this is the exact job Cronote was built for, and the setup fits inside an afternoon:

  • Paste or import your roster as a CSV from any spreadsheet. Phone numbers and emails both work, in the same list.
  • Parents and players install nothing. Messages arrive as a normal text or email with a web link, and they answer with one tap. No app, no account, no class code.
  • Answers come back to one roster view, name by name: "Can you make it? Confirm or Need to reschedule" or "Signed slip back? Done or Not yet."
  • You set a no-answer deadline, and Cronote tells you who still owes an answer, so your follow-up goes to three families instead of thirty.
  • Your personal number stays private. Messages come from Cronote, not your phone.
  • Free to start. Email delivery costs nothing and you get 10 free text credits. After that, texts come from one-time credit packs starting at $5 for 100. No subscription.

For transparency: Cronote is our product, and Cronote is not affiliated with Remind or ParentSquare. There is no automatic transfer of a class owner's contact roster from Remind to anything, ours included. The checklist

  1. Export your participant list from remind.com (web only, arrives by email as a PDF). It is names, not numbers, but it tells you exactly who you need to account for.
  2. Find your real roster source: registration list, directory, old spreadsheet. Build a name / phone / email sheet from it.
  3. If there is no source, collect contact info fresh with a short form. Once, cleanly.
  4. Set up the new tool and send yourself a test message before anyone else sees it.
  5. Send one clear moving announcement on Remind with a date and a link.
  6. Check your new roster against the exported name list. Chase the stragglers individually.
  7. Leave the old Remind class up for a few weeks as a signpost, then archive it.

Frequently asked questions

Can I export my contacts from Remind?

Not their contact details. A teacher or class owner can export a list of participant names from remind.com (it arrives by email as a PDF), but Remind keeps phone numbers and email addresses private from class owners. Only verified administrators on an organization's Remind Hub plan can see members' contact information.

Is Remind shutting down?

No. Remind Chat remains free and open to new users. The change is on the school side, where ParentSquare acquired Remind and districts are moving their paid Remind Hub communication onto ParentSquare. We keep a full breakdown of what changed and what to use instead in our Remind alternatives guide.

Do parents have to download a new app when I switch?

That depends on what you switch to. School platforms like ParentSquare have parent apps. With Cronote, recipients install nothing: messages arrive as a normal text or email with a web link, and one tap answers the question.

How do I move my class without losing people?

Set the new tool up first, then send one clear announcement on Remind with the moving date and anything you need from families, and leave the old class up for a few weeks as a pointer. Check your new roster against the participant name list Remind exported so you know exactly who has not made the jump.

When is the best time to switch?

Before the season or school year starts. A moving announcement lands best while the group is quiet, and you want the new roster tested before the first real message has to go out.
